The successful candidate will be required to perform accounting functions and the management of accounting administration staff ensuring adherence to the organisations financial policies and procedures. 

Key duties and responsibilities:

Budgeting and Forecasting

  • Monitor Actuals versus Budget, ensuring that spending is in line with budget.
  • Provide input to Grants in the preparation of the annual budgets for the projects.
  • Monitor project cash flow requirements and advise the Financial Manager accordingly of any shortfalls.

 Financial Management and Reporting

  • Ensure that monthly donor reports are submitted to the Financial, Grants and Project Manager within the required deadlines.
  • Ensure that procedures for authorisation, recording and reconciliation of transactions are being complied with by the accounting administration staff.
  • Assist the Financial Manager in upgrading or changes to the accounting system.
  • Review and update all financial reports where necessary in terms of donor and statutory requirements.
  • Resolve outstanding queries on current projects and ensure a high quality of information is included in the management packs.
  • Review monthly donor reports and liaise with Project managers.

General Ledger & Accounts Payable

  • Verify and approve the daily Accounts Payable batches and check for completeness and accuracy of allocations.
  • Review journal entries to check that they have been raised/reverse accruals raised.
  • Ensure that all Accounts Payable reconciling items are cleared and resolved within the following month.
  • Review petty cash accounts on a weekly basis and reimbursed accordingly.
  • Review that project fuel cards and credit cards are reconciled on a weekly basis and reimbursed accordingly.

Month End Process

  • Within the required deadlines, review project general ledger accounts to validate allocations and accuracy of financial information.
  • Review management packs and ensure that they are of a high standard.
  • The following steps must be addressed:
  • Preparation of correcting journal entries, accrual journals, sub recipient journals and inter-company cost journals.
  • All review queries need to be resolved within the following month.
  • Calculate and ensure all monthly invoices and advance requests are submitted to donors for timeous payment.
  • Balance all trial balances monthly.
  • Ensure and review that management fees are correct and all income to grants have been cleared.
  • Ensure that all interest has been remitted in line with funder requirements.

 Employee supervision and other functions

  • Supervision of Bookkeepers and Finance Administration staff.
  • Assist the Financial Manager in the preparation of the annual financial statements for statutory and donor audits.
  • Review monthly Accounts Payable recons to ensure completeness and resolution of reconciling items.
  • Ensure timeous follow-up and resolution of all compliance queries.

Any other tasks as agreed with line manager.

Minimum qualifications and experience:

  • BCom Degree in Accounting and articles.
  • 5 years’ experience in an Accountant role preferably with experience in managing finance staff.
  • Sound knowledge of financial accounting policies and procedures.
  • Sound knowledge of VAT act

Skills, competencies, and attributes:

  • Advanced experience with MS Excel.
  • Pastel Evolution experience.
  • Ability to operate in a dynamic environment.
  • Excellent attention to detail, and deadline driven.
  • Ability to work under pressure, independently and as part of a team.
  • Good verbal and written communication skills
  • Good analytical and creative problem-solving skills.
